1. Booking & Confirmation
We organize trips for groups of 10 participants or more. Once you approve your personalized itinerary, we will confirm all reservations. Your trip is officially secured when the deposit is received. You will receive written confirmation detailing all accommodations, activities, and arrangements included in your plan.
2. Payment
To confirm your booking:
- Deposit: 25% of total trip cost
- Balance: due 60 days before departure (or as agreed at booking)
All payments are subject to the cancellation policies of the individual components of your trip, including hotels, tours, and activities.
3. Changes:
We will do our best to accommodate changes after booking. Adjustments are:
- Subject to availability
- May incur additional costs depending on the services affected
4. Cancellations:
Cancellations must be made in writing (e-mail). Fees are determined by the terms of each service in your itinerary:
- Fees increase closer to the departure date
- Nordic Trail will clearly communicate all applicable fees at booking
- Assistance is available for rescheduling or modifying your trip
5. Price Changes:
We may adjust prices due to government fees, taxes, or transport costs. Quotes are in Norwegian kroner (NOK)
For certain specialized, research-intensive tours, a non-refundable design fee may apply. The amount depends on tour complexity – we will provide the exact cost before planning begins and if you proceed to book the trip, this fee will be credited back to you
6. Travel Responsibility:
Nordic Trail coordinates your itinerary and bookings. Individual service providers (hotels, restaurants, activities) are responsible for delivering their services. While we carefully select reliable partners, we are not liable for circumstances beyond our control.
7. Travel Insurance:
Guests must secure valid travel insurance covering:
- Cancellations
- Trip interruptions
- Medical emergencies
- Other unforeseen events
Health-related cancellations, including those involving family members, do not exempt you from financial obligations to Nordic Trail.
8. Documentation:
Guests are responsible for ensuring all travel documents (passport, visas, permits, etc.) are valid before departure. Nordic Trail can provide guidance but cannot be held responsible for denied entry or missed connections due to incomplete documentation.
9. Norwegian Travel Guarantee Fund:
Nordic Trail (Reiseteam AS) is a member of the Norwegian Travel Guarantee Fund (Reisegarantifondet RGF). In the unlikely event of insolvency, your money will be refunded by the fund.
